Internal Requisition Process
1.When an Apex Staff member requires any consumables, spare parts, tools, stationery, office
2.On this form they will need to enter the following details:
- Date the request is made
- Their name
- Department it is for
- Whether or not the requested item is a routine purchase
- Description of items to be purchased
- Quantity required of each item
- Price per unit
- Total price
- Motivation –State what the items are required for and what they are intended to be used for.
Submit 3 quotes to compare pricing (not required for routine purchases)
3.Routine purchases are consumables, office supplies or refreshments that we use on a regular
bases eg. Plugs, bubble wrap, tea, coffee, detergents etc. Supplier will be pre-approved by
Laren for these purchases and thus the Internal Requisition would not require 3 quotes.
However this Internal Requisition still required
4.Once the internal requisition has been submitted, it will be automatically sent to the
Accounts Admin who will then submit to the relevant manager who will review the IR form
and quotes. Laren will approve quotations for office consumables, stationery and supplies.
Preston will approve quotations for technical equipment, spares, consumables required by
stores and technical support.
5.If acceptable the manager will approve and email back to the accounts admin to process
6.The Accounts Admin will then create a PO for the requisition form which will also need to be
approved by management before placing the order with the supplier.
7.Once it has been approved the accounts admin can proceed to place the order with the
supplier and make payment when required. The Supplier PO and POP is to be saved in the
corresponding folder.
8.The accounts admin should advise on lead time and keep the person who put in the request
in correspondence.
9.Account admin should try and get all goods delivered to either Apex office or Warehouse to
avoid staff needing to collect unless necessary.
10.Once the goods have been received or delivered a delivery note can be done and the person
requesting the items can acknowledge that they have received it and this can be saved in the
corresponding folder.
